Charleswood Community Church Privacy Policy

 

In accordance with applicable laws, Charleswood Community Church is committed to protecting the privacy of its leaders, staff, donors, volunteers, attendees, and any other persons about or from whom Charleswood Community Church collects personal information. Any individually identifiable information is considered personal information and will be treated in accordance with this Privacy Policy.

Accountability

Charleswood Community Church is responsible for maintaining and protecting the personal information under its control and has designated a Privacy Officer who is responsible to ensure that Charleswood Community Church complies with this Privacy Policy and its privacy obligations in accordance with applicable laws.

 

Identifying Purposes

Charleswood Community Church collects and uses personal information for a variety of purposes including, but not limited to:

  • ·as required by the government to process government forms

  • to communicate with the staff and volunteers who are involved in running our programs

  • to interview potential staff and volunteer members

  • to send information on Charleswood Community Church, its programs, and activities

  • for promotional purposes 

Personal information is collected to communicate with the person, and/or their parent/guardian about activities at our church, to process donations and/or payments, to serve the individual’s needs while they attend Charleswood Community Church, to provide follow up information, and for promotional purposes.

Consent

Consent will be obtained from the person whose personal information is collected, used, and disclosed, unless obtaining the consent would be inappropriate or not required by law. Charleswood Community Church relies on the following action(s) by the leaders, staff, donors, volunteers, parents/guardians or attendees who is the age of majority as an indication of consent to existing and future personal information practices: 

  • receipt of this Privacy Policy, until the parent/guardian or attendee who is the age of majority, notifies Charleswood Community Church of a withdrawal of this consent

  • express consent or acknowledgement contained within a written, verbal, or electronic application or registration process

  • consent solicited by Charleswood Community Church for a specified purpose

A person may withdraw his or her consent at any time, subject to legal or contractual restrictions and reasonable notice. The person will be informed of reasonably foreseeable implications of the withdrawal. A person may withdraw his or her consent by letter or e-mail. Letters are to be sent to 760 Charleswood Road, Winnipeg, MB, R3R 1K6, with a sentence stating “I formally remove consent for Charleswood Community Church to use my personal information. E-mails are to be sent to office@charleswood.ca with “removal of consent for personal information” in the subject line.

 

Limiting Collection

Information collected will be limited to that required for the purpose or purposes identified by Charleswood Community Church or as required by law.

 

Limiting Use, Disclosure and Retention

Personal information shall not be used or disclosed for purposes other than those for which it was collected or as required by law. If Charleswood Community Church requires personal information for any other purpose, the person will be notified of the new purpose and subject to his or her consent, that new purpose will become an Identifying Purpose. Personal information will be retained only as long as necessary for the fulfilment of the Identifying Purposes or as permitted by law. After which all collected personal information shall be destroyed, erased, or made anonymous. All personal records and files maintained by Charleswood Community Church are confidential and remain the property of Charleswood Community Church.  

 

Accuracy

Charleswood Community Church will maintain all personal information as accurate, complete and up to date as necessary to fulfil the purposes for which it was collected.

 

Safeguards

Charleswood Community Church will protect personal information by security safeguards that are appropriate to the sensitivity, format, location, and storage of personal information. This safeguarding could include physical measures such as locked filing cabinets, organizational measures such as restricted access to files with personal information, or technological measures such as security software and passwords.

 

Openness

Charleswood Community Church is responsible for all personal information under its control and has a designated Privacy Officer, appointed by the Elders’ Committee who is accountable to the Elders for Charleswood Community Church’s compliance with this Privacy Policy. A copy of this Privacy Policy can be obtained by contacting Charleswood Community Church.

 

Access to Personal Information

Access to personal information will be granted, where Charleswood Community Church is legally required to release the information, provided that the disclosure does not violate any applicable statues or contracts, to the person to whom the information pertains where there is an appropriate written consent.

 

Challenging Compliance

Complaints or inquiries about the collection, use, disclosure or retention of personal information and Charleswood Community Church’s compliance should be directed to the Privacy Officer. The Privacy Officer will investigate complaints and ensure that appropriate measures are taken.
